PTO Accrual Calculator (Paid Time Off per Pay Period) by TheCalcTools
How the PTO Accrual Calculator (Paid Time Off per Pay Period) works
Spread the yearly allowance evenly: hours per period = days × hours per day ÷ pay periods per year. Per hour worked, divide the yearly hours by 2,080 (40 hours × 52 weeks).
Policies differ on caps, carry-over and waiting periods; apply your employer’s rules.
The formula
Accrual per period = yearly PTO hours ÷ pay periods
Worked example
Using the default values shown in the calculator:
| PTO per year (days) | 15 |
|---|---|
| Hours in a workday | 8 |
| Pay frequency | Every two weeks |
| Pay periods worked so far | 10 |
| PTO hours already used | 24 |
- 15 days × 8 hours = 120 hours a year: 4.615 hours per bi-weekly period.
- After 10 periods with 24 hours used: 22.15 hours.
